Job Title: Administrative Coordinator

Supervisor: President

Classification: Hourly

Time Commitment: full-time

Hourly Rate: $25 to $30 per hour depending on experience

At the Goldstream Group, you will be part of a collaborative team, focused on improving educational, social service, and tribal programs. We are looking for an experienced administrative coordinator to support our team of evaluators and to help us keep growing.   • Manage accounts and perform bookkeeping
  • Prepare and monitor invoices
  • Prepare payroll for accountants, monitor and approve time entry
  • Coordinate and maintain shared calendars, schedule appointments
  • Manage the day-to-day operations of the office, such as coordinating office and project tasks
  • Plan meetings and take detailed minutes
  • Collate and distribute mail
  • Write and edit documents from letters to reports and instructional documents
  • Create and maintain filing systems, both electronic and physical
  • Filing – ordering and maintaining documents according to a predetermined system
  • Data management – ordering and maintaining project data according to a predetermined system
  • Oversee social media, such as constant contact, Instagram
  • Coordinate staff travel, such as booking flights, hotels, rental cars, calculating per diem and other travel costs
  • Order office supplies and research new deals and suppliers
  • Manage company software and user logins, develop a user report monthly
  • Monitor required staff training and schedule additional training as needed
  • Maintain literature references
  • Ensure operation of equipment and liaise with the IT contractors for repairs, updates
  • Develop and update administrative systems to make them more efficient
  • Conduct data entry
  • Assist with data collection as needed- Survey distribution, survey monitoring and reminders, tabling events, interviews.


  • Knowledge of bookkeeping process and financial management and its related software
  • Computer skills, proficient with MS Office applications (Word, Excel, PowerPoint, and Access)
  • Accounting/budget experience is preferred
  • Strong organizational skills
  • Ability to implement standard office procedures/practices and able to operate office equipment.
  • Excellent verbal and written communication skills
  • Previous successful experience in an office environment
  • Excellent interpersonal skills
  • Ability to effectively interact with the business industry and staff members
  • Ability to maintain confidentiality

  • Bachelor’s degree preferred
  • 2 + years’ experience in administrative or office support
  • Proficient in Microsoft Office
  • Excellent communication skills, both written and verbal
  • Strong time management and organizational skills
  • Ability to multi-task and prioritize in a fast-paced environment

Job Type: Full-time

Pay: $52,000.00 – $62,400.00 per year
