About Us

Sterling Commercial Management, and the Sterling group of companies, is seeking an Executive Assistant/Onboarding Specialist.

We are excited to promote a new position in our rapidly growing commercial property management company based in Missoula, Montana. We work with clients to build value in their assets through exceptional property and facility management services. Our goals as an organization are built on the fundamentals of hard work, consistency, continued education, and professionalism. The Executive Assistant will assist the Property Management Director in the daily operations, including managing client and tenant expectations, meeting important deadlines, preparing for owner/investor meetings, and evaluating and implementing policies and procedures as necessary to maximize productivity and client satisfaction.

Job Description

  • Maintain an organized office including collecting and sorting mail
  • Ensure documents are filed correctly (digitally and paper copies) to meet company and legal requirements
  • Schedule and prepare for meetings with current clients, potential clients, investors, etc.
  • Meet monthly deadlines
  • Gather and present relevant market data through a variety of platforms including the Microsoft Office Suite and Google Workspace .
  • Track and coordinate communication with owners, tenants, investors, and potential clients
  • Review current company policies and implement and train staff on new policies
  • Review and edit new client proposals
  • Read and comprehend lease contracts and reports
  • Data entry of accurate lease information into our property management software
  • Responsible for onboarding new properties to include establishing services and coordinating a seamless transition for tenants.

  • Self-motivated individual who works well alone and with a team
  • Attention to detail with exceptional organizational skills and an eye for efficiency
  • Ability to adapt quickly to a changing environment with experience prioritizing tasks
  • Must be comfortable providing constructive feedback
  • Must be able to manage multiple software systems simultaneously

*This position does not require a property manager’s license or real estate salesperson license.

Reports to

Property Management Director

Physical Requirements

Primarily indoor, office setting, sitting or standing desk work with the use of keyboard and computer. Occasional outdoor, on location-based property needs with the ability to lift 40lbs or more at times.

Job Type: Full-time

Benefits

Salary: $55,000 – $65,000 per year

Health Insurance: PacificSource Bronze with HSA match

Paid Time Off (PTO): 20 days per year; accrues immediately
