Title: Executive Assistant to the Executive Director of the schoolReports To: Executive Director (ED)Description of The UCAP School: The UCAP School is an independent public school under the supervision of the Board of Superintendents composed of the participating school districts. The UCAP School works with approximately 140 students in grades 7 and 8. All students selected for the program have had a history of academic challenges and many have repeated at least one grade. Students are given the opportunity to accelerate in grade if they have been held back, and those who have not, are working towards addressing their own learning loss so that when they do return to their sending districts, they are ready to engage with on grade level work.
Through a program of accelerated instruction, counseling and career education, the staff of The UCAP School will seek to prepare these students for successful transition into high school. Basic Functions: The Executive Assistant is a confidential partner and will be responsible for supporting the work of the Executive Director of the school and carrying out the day-to-day functions of the school, as directed by the Executive Director.Specific Duties: Dictating notes for meetings involving the ED – staff, parent/guardian, BoardCommunicating on behalf of, and as the point of contact for, the ED as it applies working with vendors, community partners, staff, and Board members as appropriateCarrying out secretarial duties such as creating staff/student forms, updating documents, making copies, scanning, creating flyers and agendas, preparing for each school year with forms, maintain all Directors and historical filesDeveloping new and improved systems and structures, and thinking creatively about how we can improve the ones that are already in placePurchasing, submitting payment for, and inventorying all instructional materialsAssisting with bids and sole sources/emergency procurements & processes as directed. Human Resource responsibilities that include onboarding of new staff, posting positions and helping with the interview process, supporting the inputting of new documents, overseeing all personnel files, sending in payroll, updating and maintaining job descriptions, and managing personal time off requestsOversees and manages multiple calendars, building usage rentals (including forms, payment submissions, calendar, etc)Attending and supporting a handful of nightly events identified throughout the yearOther duties as directed by the Executive DirectorAdditional Requirements: Strong oral and written communication skills Ability to lead, think creatively, organize systems and structures effectively, work independently, and take initiative Collaborates, communicates and problem solves effectivelyEngages in reciprocal feedback and maintains confidentiality at all timesEffectively carries out responsibilities and directives as given and in a timely mannerBuilds strong, professional relationships with all stakeholders – families, students, staff, and community partnersWillingness to work as a member of a professional educational team. Fluently works within google and Microsoft office formatsMaintains a positive attitude and professional demeanor even in the face of adversityPreferred Requirements: Bilingual with strong oral and written communication skills in both English and Spanish.
Knowledge of developmental norms of middle school students and working with urban youthFour-year college degree or comparable experience Term of Appointment: Full time position with a flexible schedule, subject to annual review with the Executive Director.
