Job Description :

Ballou Law a small law firm in scenic York, Maine, is hiring a well-spoken, dependable and enthusiastic Office Administrator to join their team. This individual will be the face of the firm as they will be the first-person clients interact with on the phone and in person.

The Office Administrator should possess strong organizational skills and attention to detail, with the ability to interact with others in a professional manner. We seek a candidate with the skills to thrive in a fast-paced, multitasking position to ensure communications and scheduling with clients and vendors run smoothly. This role includes website updating duties, marketing activities, and social media initiatives.

Responsibilities

  • Act as first point of contact with clients and potential clients, including phone and face to face interaction.
  • Appointment scheduling with clients and business colleagues, including phone and email correspondence.
  • In partnership with a third party consulting company implement a new website
  • Act as the liaison with the media consultant to implement an ongoing social media campaign
  • Correspondence with clients.
  • Mail management, postage & express deliveries.
  • Maintain general appearance of office including reception area and conference room.
  • Coordinate and organize employee events and meetings.
  • Maintain office supply inventory and marketing materials
  • Troubleshoot basic office IT issues and act as the liaison with IT outsourced vendor
  • Prepare client intake folders, manage documents, and process payments.
  • Preparation and review of legal documents for attorneys
  • Maintain and organize client contact information and mailing lists.
  • Performs other administrative, technical and marketing duties as requested.

Qualifications

  • 1-4 years’ experience working in an administrative role or office setting
  • Excellent communication skills both written and verbal
  • Excellent attention to detail
  • Computer literate and tech savvy; will act as the lead to troubleshoot technical issues
  • Must be punctual and dependable
  • High degree of integrity and trustworthiness
  • Model behaviors expected of all Ballou Law employees to cultivate a positive work environment
  • Strong ability to organize, prioritize, and work on multiple tasks
  • Ability to work both collaboratively and independently
  • Personal transportation required and used as needed

Office hours are Monday through Friday from 8:30-5. This is not a remote work opportunity.
