Job Description :

Honolulu Cookie Company Product and Marketing department has an opening for a Purchasing Assistant who will be responsible for monitoring inventory levels and preparing purchase orders for packaging raw materials needed for finished goods product. Tracks and follows up on purchase orders, ensuring on-schedule delivery and communicating any delays or issues. Coordinates deliveries and processes receiving.

· Fosters a sense of teamwork and collaboration by supporting an employee culture that is aligned with HCC values and operating principles. Ensures all employees are treated consistently, fairly, ethically, and respectfully

· Prepares, processes, and tracks all purchase orders for packaging materials, ensuring specs, pricing, qtys, etc. are accurate

· Follows up with vendors to ensure proofs and production samples are provided as requested and delivery dates are met

· Participates in proofing process for product artwork and specs

· Ensures orders are delivered on schedule, at negotiated price, in the required quantities, and in

keeping with the company’s quality standards

· Effectively and proactively communicates any updates, delays, or issues with outstanding purchase orders to appropriate departments

· Works with vendors and warehouse to coordinate deliveries and process & submit receiving documents to close out purchase orders

· Tracks packaging raw material usage and suggests re-order quantities on a weekly basis, maximizing inventory levels to support sales and address warehouse space limitations

· Accurately assign and build SKUs for new items in Sage

· Generates and distributes open orders, vendor, inventory, and product sales reports

· Tracks and submits damage claims to vendors for credit/reimbursement

· Works collaboratively and effectively with Product & Marketing team, Finance, Operations, and Sales teams to achieve company objectives

· Other duties as assigned

JOB REQUIREMENTS:

· Represents the company brand image and shares aloha to all customers, business partners, and co-workers at all levels throughout the company

· Strong attention to detail and analytical skills

· Excellent verbal and written communication skills

· High level of accuracy

· Flexible with ability to meet deadlines under pressure

· Solution-oriented with strong problem-solving skills

· Ability to work both independently and in a team-oriented environment

EDUCATION & SKILLS:

· 2-3 years buying or purchasing experience

· Bachelor’s Degree in related field preferred

· Proficient in Microsoft Office

· Advanced Excel skills including pivot tables, vlookups, logical formulas, macros and ability to accurately manipulate large data sets

PHYSICAL DEMANDS:

· Able to sit or stand and walk throughout the scheduled workshift

· Able to lift and/or move up to 25 lbs.
