Job Description :

Museum of the Rockies (MOR) is Montana’s most visited museum. In 2021, the museum received over 226,000 general visitors and served thousands of additional visitors through school, youth, and public programs. MOR is a college-level division of Montana State University, an independent 501©(3) organization, a Smithsonian Affiliate, an accredited AAM museum, and a repository for state and federal fossils. The interdisciplinary museum has one of the finest collections of paleontology in the world and a significant cultural collection from the Northern Rocky Mountain region. Located on a 22-acre museum site, it includes a 120,000-square-foot-facility, the state-of-the-art Taylor Planetarium, the 220 seat Hager Auditorium, Martin Children’s Discovery Center, and Living History Farm, along with an off-site 553-acre paleontology preserve.

Museum of the Rockies is supported by a volunteer corps of approximately 135 individuals of all ages. Working in the areas of education, paleontology, collections, visitor services, and administration, these volunteers provide the equivalent of 12 full-time staff in the hours they contribute to the museum. The Volunteer Coordinator is responsible for recruitment, recognition, and retention of the museum’s volunteers and advocates for the needs of the volunteers.

Duties and Responsibilities

The Volunteer Coordinator is responsible for the museum’s volunteer program.

Recruit and retain volunteers, evaluating their background and goals for alignment with the museum.

Provide fundamental orientation and training for all new volunteers.

Be the primary source of all communication with volunteers.

Organize and support the Volunteer and Docent Boards.

Provide guidance, coaching and recognition of volunteers.

Plan and facilitate the annual recognition event for museum volunteers.

Schedule and track volunteer hours.

Maintain and update volunteer policies and procedures.

Coordinate and schedule outside speakers to enhance volunteer training programs under the guidance of the Director of Education & Public Programming.

Collaborate with other staff to develop new partnerships with other organizations or enhance existing ones.

Required Qualifications – Experience, Education, Knowledge & Skills

A minimum of three years of experience managing volunteers or staff in a nonprofit environment.

Demonstrated public speaking experience.

Proven experience and excellence in customer service.

Experience using word processing, presentation and spreadsheet software, web-based software, database software.

Preferred Qualifications – Experience, Education, Knowledge & Skills

Bachelor’s degree in education, museum studies, or a related field or the equivalent combination of education and relevant experience.

Experience establishing and maintaining partnerships at the community level that resulted in enhanced cooperative educational opportunities.

Demonstrated experience coordinating, managing, and evaluating a network of people with diverse backgrounds and experiences.

Demonstrated experience with web-based calendars and scheduling.

Experience using audio/visual components including, but not limited to, LCD projectors, SMART Podiums, web-based video cameras and basic video editing, and sound equipment.

Experience working in a museum setting, including educational museum programming and training programs.

Successful experience tracking budgets and working within budget frameworks.

The Successful Candidate Will

Possess superior written and oral communication skills and confidence in oral presentations and public speaking.

Knowledge of a variety of disciplines in the natural and social sciences is helpful, though not required.

Develop and maintain relationships with a wide variety of people.

Demonstrate the ability to manage difficult and sensitive situations, relationships, and conversations.

Be creative and resourceful.

Conduct him/herself in accordance with the highest ethical standards.

Position Special Requirements/Additional Information

Must be able to work some weekends and evenings as needed, planned in advance.
